The commercial difference from a subscription CRM is straightforward: you pay once for deployment and configuration rather than a growing monthly fee per user, and the data sits in your own database.
What it does
Lead and contact management with automatic capture from web forms, email and telephony, duplicate detection on entry, assignment rules by territory or round-robin, and complete interaction history against every account.
Pipeline management with configurable stages, stage-specific required fields, probability weighting, and both board and list views. Managers see aggregate pipeline; representatives see their own work.
Activity tracking covering calls, meetings, emails and notes, with follow-up tasks generated by rules rather than memory, and calendar synchronisation so scheduling happens once.
Quotations generated from a product and service catalogue with pricing rules, discount approval thresholds, version history, and branded PDF output that is GST-compliant for domestic sales.
Reporting covering pipeline by stage, weighted forecast, conversion between stages, cycle length, activity levels and source attribution.
Configuration rather than code
Stages, fields, assignment rules, email templates, approval thresholds and user permissions are all configurable through the administrative interface. Most businesses go live with configuration alone.
Where a requirement genuinely falls outside the model — an unusual approval chain, an integration with a proprietary system — we extend it. Because you hold the source, that extension is not gated by a vendor roadmap.
Deployment and data
Deployed to your cloud account or on-premise. Data resides in your database, in your chosen region, which resolves data residency questions that subscription platforms often cannot. Migration from an existing CRM — including history, notes and attachments — is part of the implementation.
When this is the right choice
It suits teams of roughly ten users upwards, where per-seat subscription costs are becoming material, where data residency or confidentiality is a genuine constraint, or where the CRM needs to sit tightly alongside an ERP or production system. Below that threshold a subscription product is usually more economical, and we will say so.
